Pay: $24 - 26/hr, Full Time
Schedule: 
Monday–Friday, 8am-5pm

Position Overview: We are seeking a detail-oriented and highly organized Fleet Coordinator to manage the administrative aspects of our vehicle fleet operations. The ideal candidate will have experience working with ClickUp to set up and manage task management spaces effectively, ensuring the smooth operation and compliance of our fleet. This role requires strong communication skills, multitasking ability, and a proactive approach to managing the lifecycle of fleet vehicles.

Key Responsibilities:

ClickUp Task Management strongly preferred

· Set up and manage ClickUp Spaces to organize, track, and prioritize fleet-related tasks.

· Customize workflows, templates, and automation in ClickUp to enhance efficiency.

· Regularly update and maintain ClickUp to reflect the current status of fleet projects and tasks.

Vehicle Registration and Insurance Management

· Coordinate with Enterprise and other providers to register all new vehicles promptly.

· Obtain and maintain appropriate insurance coverage for new vehicles.

· Handle insurance removal, license plate returns, and vehicle titling for vehicles being taken off the road.

Compliance and Safety Programs

· Enroll vehicles in required safety programs as mandated by insurance providers or regulatory requirements.

· Ensure all vehicles are compliant with tag and registration requirements, pushing to resolve any discrepancies promptly.

· Follow up and ensure drivers perform defensive driving training as required by the company.

Claims and Incident Follow-Up

· Oversee the complete lifecycle of accident and claim processes, ensuring timely resolution.

· Act as the primary point of contact for insurance companies, adjusters, and internal stakeholders for accident claims.

Ticket and Booted Vehicle Resolution

· Address and resolve issues related to booted vehicles and tickets, ensuring compliance with local regulations.

Fleet Support and Coordinator

· Coordinate the replacement of expiring gas cards, ensuring all drivers have updated cards.

· Maintain accurate and up-to-date records of fleet documents, including registration, insurance, and claims.

· Communicate regularly with drivers and team members to provide updates and resolve fleet-related issues.
 

Qualifications:

· Proven experience in fleet management, insurance coordination, or related administrative roles

· Strongly preferred to have hands-on experience using and managing tasks in ClickUp, including setting up Spaces and workflows.

· Strong organizational skills and attention to detail.

· Excellent written and verbal communication skills.

· Proficient in using online tools and software for tracking, reporting, and communication.

· Familiarity with state-specific vehicle registration and insurance requirements is a plus.

· Experience working with EZO Asset management software is a plus

· Driver license is a plus
